8. AI-Powered Services and Automated Processing
8.1 Astralway uses artificial intelligence and automated technologies to assist in generating features including:

(a) astrology interpretations;

(b) personalised forecasts;

(c) digital reports;

(d) AI chat responses;

(e) suggested questions; and

(f) journaling or reflective support.

8.2 Written interpretations, forecasts, reports and chat replies are generated by Google Gemini. Chart positions themselves are calculated on our own systems and are not sent to a separate astrology-calculation provider.

8.3 To produce a reply we send Google the information needed for that feature. That can include birth details, calculated chart factors, questionnaire answers you have chosen to share with readings, earlier messages in that conversation, and the text you type. Google processes that information on its systems, which may be outside the United Kingdom.

8.4 We do not state that Google excludes this information from model training. If that position is confirmed and we rely on it, we will update this Policy first.

8.5 We seek to limit the personal data shared with AI and technology providers to information reasonably necessary to provide the relevant functionality.

8.6 Where a provider processes personal data outside the United Kingdom, we will use an appropriate lawful transfer mechanism and safeguards where required by applicable data protection legislation.

8.7 Further information about our use of artificial intelligence, including relevant AI and technology providers, the purposes for which information may be processed and applicable international data transfers, is provided in this Privacy Policy and our AI & Automated Interpretation Policy.

8.8 Astralway's automated systems generate informational and reflective content. They are not intended to make decisions about you that produce legal effects or similarly significant effects within the meaning of applicable data protection legislation.

8.9 AI-generated information may occasionally be incomplete, inaccurate or inappropriate to your individual circumstances.

8.10 You should exercise your own judgement when using AI-generated content.

8.11 Astralway's AI-generated content is provided for informational, educational and personal reflective purposes and is not a substitute for professional medical, psychological, legal, financial or other regulated professional advice.

9. Sharing Your Information
9.1 We do not sell your personal information.

9.2 We may provide personal information to trusted third parties where reasonably necessary to operate Astralway.

9.3 The organisations that receive personal information in the course of running Astralway are:

(a) Stripe, for card payments and subscriptions. We do not store your full card number.

(b) Google Gemini, to generate interpretations, forecasts, reports and chat replies, as described in section 8.

(c) Google Analytics, for usage statistics, only after you Accept analytics cookies.

(d) Google Fonts, to load Astralway's typefaces. Your browser sends your IP address to Google. This does not set an Astralway cookie.

(e) Google Workspace, to send account, support and waitlist email through Gmail.

(f) our own United Kingdom server (hosted with Fasthosts), which holds the website, the PostgreSQL database and the Redis cache. Those are not held by a separate cloud database vendor.

(g) a marketplace practitioner, only when you choose to book them; and

(h) professional advisers where necessary, such as our accountants or lawyers.

9.4 Where another organisation processes personal information on our behalf as a processor, we take appropriate steps to ensure that suitable contractual and data protection arrangements are in place.

9.5 We may disclose personal information where reasonably necessary to:

(a) comply with applicable law;

(b) comply with legal proceedings or court orders;

(c) respond to lawful requests from public authorities; or

(d) establish, exercise or defend legal rights.

9.6 If Beauty & Wellbeing Education Ltd or relevant parts of its business or assets are sold, transferred, reorganised or merged, personal information may form part of that transaction, subject to applicable data protection law.

10. International Transfers
10.1 Astralway is operated from the United Kingdom but may use technology and service providers that process personal information in other countries.

10.2 Where personal information is transferred outside the United Kingdom, we will ensure that the transfer is made in accordance with applicable data protection law.

10.3 Depending on the destination and provider, appropriate safeguards may include:

(a) UK adequacy regulations;

(b) recognised contractual safeguards;

(c) the UK International Data Transfer Agreement;

(d) an approved UK Addendum to appropriate contractual clauses; or

(e) another lawful international transfer mechanism.

10.4 Where required, we will undertake appropriate assessments relating to international transfers.

10.5 You may contact us at privacy@ljwellbeing.co.uk for further information about safeguards applicable to relevant international transfers.

11. Data Security
11.1 We take appropriate technical and organisational measures designed to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access.

11.2 Depending on the systems involved, these measures may include:

(a) encrypted website connections using HTTPS;

(b) secure authentication processes;

(c) securely hashed or encrypted password credentials;

(d) appropriate access controls;

(e) restricting access to individuals and providers with a legitimate need for access;

(f) system monitoring and security measures;

(g) reputable third-party payment processing;

(h) appropriate confidentiality obligations; and

(i) procedures for responding to suspected personal data breaches.

11.3 Where required by applicable law, we will notify the Information Commissioner's Office and/or affected individuals of a personal data breach.

11.4 No website, application, database or online transmission can be guaranteed to be completely secure.

12. How Long We Keep Your Information
12.1 We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including to provide our services and meet legal, accounting, security and regulatory requirements.

12.2 Different categories of information may have different retention periods.

12.3 Account Information

12.3.1 Account information will generally be retained while your account remains active and for an appropriate period following closure where required for legitimate business or legal purposes.

12.4 Saved Charts, Reports and Account Content

12.4.1 Saved charts, reports and other account content may be retained while associated with your account unless deleted earlier, subject to applicable technical, backup and legal retention requirements.

12.5 AI Chat and Journal Information

12.5.1 Ask Astralway conversations and journal entries are retained while your account remains active. When you delete your account they are removed from the live database. Encrypted backups may retain a copy until that backup cycle is overwritten.

12.6 Transaction and Accounting Records

12.6.1 Transaction and accounting information will be retained for the period required by applicable tax, accounting and other legal requirements.

12.7 Customer Support Communications

12.7.1 Customer support communications will be retained for an appropriate period having regard to the nature of the enquiry and any continuing legal or business requirements.

12.8 Technical and Security Logs

12.8.1 Technical, security and rate-limiting logs are retained for up to 90 days, unless a longer period is required to investigate a security incident or legal claim.

12.9 Account Deletion

12.9.1 Where you delete your account, we will delete or anonymise personal information that we no longer require, subject to information that must or may lawfully be retained for:

(a) legal requirements;

(b) accounting and taxation;

(c) security and fraud prevention;

(d) dispute resolution;

(e) enforcement of our agreements; or

(f) other legitimate purposes permitted by law.

12.9.2 When you delete your account we immediately erase your profile, birth details and charts, questionnaire answers, readings, forecasts, compatibility reports, journal entries, AI conversations, notifications, sessions and email sequences. Your name and email address are removed from your account record, notes you added to bookings are removed, and any open bookings are cancelled and the other party is told. If you were a reader, your public profile and services are taken down.

12.9.3 We keep a minimal, anonymised account record linked to: purchase, payment, credit and subscription records; checkout consent records; booking dates, prices and statuses; reviews you left (shown as "Former member"); security and audit logs; and records of emails we sent. We keep these for six years from the end of the financial year they relate to, to meet tax and accounting obligations and to evidence consumer-law compliance, and then delete them.

12.9.4 We also keep the record of your deletion request itself so we can show it was completed.

12.10 Backups

12.10.1 Information may remain temporarily within secure backup systems until those backups are overwritten or deleted in accordance with our normal backup cycle.

12.10.2 Encrypted production database backups are taken regularly and overwritten on a rolling cycle. Account content then drops out of backups as those cycles expire. Billing records required by tax law are kept for the statutory period independently of account deletion.

12.10.3 Daily backups are kept for 14 days and weekly backups for 8 weeks on the server; encrypted offsite copies are kept for up to 30 days (daily) and 12 months (monthly). Deleted account content therefore leaves all backups within 12 months. We do not use backups to restore an account you have deleted.

13. Your Data Protection Rights
13.1 Depending on the circumstances and applicable law, you may have the right to:

(a) be informed about how your personal information is collected and used;

(b) request access to personal information we hold about you;

(j) lodge a complaint with a data protection supervisory authority.

13.2 These rights are not absolute and may be subject to conditions and exemptions under applicable law.

13.3 Where processing is based on consent, withdrawing consent does not affect the lawfulness of processing undertaken before consent was withdrawn.

13.4 Astralway users may also be able to delete their account through the Platform.

14. Accessing Your Personal Information
14.1 You may ask us whether we process personal information about you and request access to that information. This is commonly known as a Subject Access Request.

14.2 You can send a request from the data-rights form on this website, or by email using the contact details in Section 19.

14.3 We may take reasonable and proportionate steps to verify your identity before disclosing personal information.

14.4 We will respond within one month of receiving the request. That due date is tracked for the operator until the request is completed or refused.

14.5 Where permitted by law, additional time may be required for particularly complex or multiple requests. Where applicable, we will inform you accordingly.

14.6 There is normally no charge for exercising your data protection rights. Applicable law may, however, permit us to charge a reasonable fee or take other permitted action in certain circumstances, including where a request is manifestly unfounded or excessive.

15. Cookies and Similar Technologies
15.1 Astralway may use cookies and similar technologies for purposes including:

(a) providing essential Platform functionality;

(b) maintaining user sessions and keeping users signed in;

(c) remembering preferences;
